Order & customer support officer

Position summaryAs an Order & Customer Support Officer, you play a key role between our customers, the operations office, and the internal organization. You ensure that orders are processed accurately and on time, and that customers are supported in a professional and service-oriented manner. Through your attention to detail and strong communication skills, you contribute directly to efficient operational processes and high levels of customer satisfaction. Key responsibilities
  • Processing, verifying, and following up on incoming orders.
  • Acting as the first point of contact for customers via phone and email.
  • Advising customers on product information, delivery times, and order status.
  • Coordinating with internal departments such as planning, warehouse, procurement, and sales.
  • Monitoring delivery schedules and proactively informing customers of any deviations.
  • Resolving inquiries and issues related to orders, deliveries, transportation, and returns.
  • Following up on transportation and delivery-related questions.
  • Maintaining and updating master data within the system.
  • Managing and maintaining ordering assortments, inventory agreements, and volume contracts.
  • Accurately maintaining customer and order data in the ERP system.
  • Performing export administration and supporting export processes, including:
  • Arranging transportation and linking it to customer orders.
  • Collecting and verifying shipping and export documentation.
  • Identifying opportunities for improvements in processes and customer communication.
  • Supporting the operations office with additional administrative and organizational tasks.
  • Managing data exchange and maintaining customer data for toll blending/custom processing clients.
 Job requirements
  • MBO+ level of working and thinking (or equivalent).
  • Experience in order processing, customer service, or an operations office role is an advantage.
  • Excellent verbal and written communication skills.
  • Accurate, structured, and capable of setting priorities effectively.
  • Proactive, solution-oriented mindset.
  • Familiarity with ERP systems and Microsoft Office (Excel, Outlook).
  • A team player who is also able to work independently.
